Responsible for managing the organization’s administrative activities related to the management of equipment, facilities, reception, telephony, cleaning, internal circulation and property maintenance, including give information of job application.
Responsibilities
- Welcome visitors by greeting them, in person or on the telephone: answering or referring inquiries.
- Well versed in managing multiple line phone system and handling multiple incoming calls simultaneously.
- Adept at giving accurate and detailed information to visitors and callers
- Able to handle difficult clients tactfully
- Monitor visitor access and maintain security awareness
- Give information of job application
- Take care applicants for filling out application
- Make an interview appointment with applicants
- Managing calendars and maintaining conference rooms
- Manage and record all the company incoming and outgoing couriers
- Prepare disbursement of couriers and letters
- Check the accurate billing note of couriers before sending to the related departments
- Manage pick up and deliver the letters
- Manage the booking of meeting room, LCD projector, locker and company car (VAN)
- Manage distribution of internal documents and goods between PHC’s head office and DC Bang-na
- Sorting and distributing documents to relevant and other department
- Coordinate with Office Building
- Manage job of maid , driver and messenger
- Coordinate with outsource company (maid & security) ofDC Bang-na
- Co-ordinate with Order Center and distribution goods to staff
- Prepare monthly payment request for water / electric /parking / building utilities
- Provide office supplies (Stationery & kitchen supplies) for staff and maintain adequate stocks
- Maintains safe and clean reception area
- Provide general administrative and clerical support
- Other duties as assigned
Qualifications
- Bachelor’s Degreein Psychology, Political Science, Social Science, Business Administration, Human
- Resources Managementor related fields.
- Minimum2 years’ experiencein Receptionist & Administration.
- Positive attitude “CAN DO”, energetic andservice minded.
- Be able to work independently with result-oriented.
- Goodinterpersonal and communicationskills.
- Good command of written and spoken in English.
- Good computer literacy in MS Office, HRIS, Infographic, etc.
